Newsletter Submission Guidelines

All submissions for the CAPC Weekly Newsletter must be submitted by end of day Tuesday of each week  to Lisa Dare,  Communications Director at ldare@telusplanet.net with a cc to va.capc@shaw.ca

 

Announcements will run for one edition only unless clearly and specifically requested otherwise in the original submission. 

 

All images, graphics etc. must be in a *.jpg format and sent as an attachment. No submission shall appear unless accompanied by the name of a contact person; his/her email address and phone number for billing purposes.

 

Basic Premise

In today’s world, being on an e-mail distribution list can be a blessing or a curse. If you are receiving concise material that you find relevant and useful, you appreciate it. If you are receiving material that you would rather not have, it clutters up your inbox and encourages you to have your name removed from the sender’s list.

If the CAPC distribution list is to be an effective tool, being on the list must be a positive experience for both our members and non-members.

 

  • For members, this means receiving information on events that specifically help coaches develop their ability to coach and succeed in a coaching practice.
  • For non-members, it means honoring why they originally agree to be on the CAPC list, and making thoughtful decisions about what they are likely to enjoy receiving. Most non-members are on the CAPC list because they have attended a breakfast, workshop or speaker and asked to be kept informed of similar learning opportunities, or because they have shown an interest in being kept up to date with developments in the coaching field.

These guidelines attempt to limit the use of the CAPC distribution list to event and service announcements that meet these member and non-member interests.

 

Sources of Announcement Requests

In all cases, announcements will be reviewed and approved by the CAPC President and Director of Communication (or their designates) before distribution.

 

Events and Services Offered by CAPC

All events and services offered by CAPC with the approval of the CAPC Board have full use of the distribution list for both members and non-members.

 

Events and Services Offered by CAPC Members

The primary reason for using the CAPC list to publicize the special programs and activities of CAPC members is to enhance the image of coaching in Calgary by demonstrating the talent and expertise of member coaches. As a secondary benefit, individual coaches or coaching companies can receive targeted event advertising at a modest cost. To achieve these ends, CAPC uses its Weekly Newsletter to distribute the “CAPC Member Showcase”, a communication vehicle designed specifically to highlight exceptional services offered by highly professional coaches.

 

To be accepted for promotion in the CAPC Member Showcase, member activities must be:

  1. separate and distinct from regular coaching services (e.g., stand alone courses, consultation services, or unique and interesting applications of coaching technique),
  2. likely to be of interest to one of more groups of people on the distribution list,
  3. likely to reflect well on all members of CAPC due to being well grounded in a researched based or professionally respected view of the issues being addressed, and
  4. likely to reflect well on CAPC members due of the level of preparation and professionalism that the announcement and actual event or service demonstrates.

Acceptance or rejection of announcements submitted for the CAPC Member Showcase will be determined by the CAPC President and Communication Director.  Please note that in order to be considered a “Member’s Showcase”, the member in question must be engaged in the delivery of the material. For example, if ABC coaching company is putting on a workshop and a CAPC member is an employee of ABC coaching company, this would not qualify as a member showcase except if the CAPC member was actually delivering the workshop.

 

If a member has their announcement accepted, they will be required to submit:

 

  1. A brief summary announcement that will be included in the body of the Member Showcase e-mail beginning with the title of the event or service and including a description of not more than 125 words. The announcement should end with the phase “Offered by (name of coach or company.)”

  2. A maximum 2 page PDF file describing the event, and including such things as registration information and a link to an associated website or e-mail address for more information. If the member does not have the ability to create PDF files they may create a fully complete announcement in MS Word or PowerPoint and pass it to the CAPC Virtual Assistant for conversion to PDF. The file will be attached to the Member Showcase e-mail, and should have the same name as the title of the event or service to make it easy for people to connect the brief summary and the associated file attachment.

Events and Services Offered by Other Professional or Not-for-Profit Organizations

For a variety of reasons, CAPC may wish to either use another organization’s distribution list, or allow other organizations to use CAPC’s list. CAPC will only distribute the announcements of other groups if:

  • those announcements deal with events or services that are highly relevant to either members or non-members on the CAPC list, and
  • cooperation with the requesting organization supports CAPC’s credibility and image.

In such cases, the distribution will go out under an “External Event” banner to clearly differentiate it from CAPC sponsored events, and people with inquiries will be asked to deal directly with the host organization.

 

Events and Services Offered by For-Profit Business

Joining the CAPC distribution list carries no prior warning that it could result in receiving business solicitations, and most people agree to be on the list under the assumption that they will only be receiving material from a non-profit entity whose aim is to encourage coaching and associated learning opportunities.

 

In some cases, however, such events and services may be promoted to CAPC members as part of CAPC’s interest in making members aware of particularly valuable professional development opportunities. Business sponsored announcements may be approved if they:

 

 

  1. appear highly relevant to the needs of coaches in terms of either coaching skills or business development skills,
  2. are offered by a company that appears to understand the specific needs of coaches,
  3. are offered by a company that appears to be capable of delivering a high quality service to participating CAPC members, and
  4. promote a service that is easily accessible to CAPC members in terms of location, so that it is likely that more than 1 or 2 members will attend.

The exception to Point #4 would be a coach specific training event in a distant location that is offered by such a well known coaching organization or expert that CAPC members may attend at considerable expense.

 

In all cases involving for-profit business, the distribution will go out under an “External Event” banner to clearly differentiate it from CAPC sponsored events, and members will be encouraged to investigate the content and quality of the service on their own, and to direct all inquiries directly to the involved business.

 

Sponsors of for-profit business events will be asked to supply a short 125 word description, and a maximum 2 page PDF file describing the event, and including such things as registration information and a link to an associated website or e-mail address for more information. For-profit announcements may be grouped into single distributions to limit the number of external event notices to one per month.

 

Fees

Fee for inclusion in the CAPC Member Showcase:  $35 for Category I members, $50 for Category II members and $ 100 for all others.

 

The fee assessed for not-for-profit organizations will be at the discretion of the CAPC Board of Directors and may be waived as a donation in kind.
